Rosewood Miramar Beach, a Rosewood Hotel, is looking for a talented and exceptional Food & Beverage Coordinator. The Food & Beverage Coordinator is responsible to oversee and manage all administrative duties for the Food & Beverage Division as well as the proposal, contracting, planning and invoices of Miramar Picnics and assisting outlet Head Of Department’s with large party reservations. To be a part of the property champion team for POS to ensure the system is actively maintained and organized. Finally to assist with Special Attention Guests reservations and support Food & Beverage programming activations from planning through to execution. 

Responsibilities and duties for this position shall include, but not be limited to, the following areas and activities. At management discretion, direction may be given for tasks outside the scope of work described.

F&B Administrative Duties:

  • To maintain and organize the F&B and Public F&B shared drive folders using a structured and systematic way of keeping files up to date and archiving old files.
  • To ensure all food and beverage pick up charts are formatted in a uniform manner in collaboration with outlet leaders.
  • Manage and oversee F&B requisition processes including bi-weekly dry goods and stationery orders and daily produce to ensure timely and accurate submissions to the purchasing and culinary departments.
  • To process and generate Purchase Order’s in Birchstreet that impact multiple outlets (such as linen laundered for the division, propane tanks, floral/decorations, etc.) as well as all entertainment invoices.
  • To assist outlets as directed to input department-specific invoices.
  • Manage and maintain stationery and collateral by in accordance with the par system setup and placing orders accordingly.
  • Performs related day, evening duties and special projects as assigned by Director Of Food & Beverage/Assistant Director Of Food & Beverage.
  • Prepare weekly / monthly reports as requested by the Director Of Food & Beverage/Assistant Director Of Food & Beverage.
  • Prepare and maintain F&B outlet hours of operation fact sheet to ensure all departments have accurate information.
  • Participate and assist in all meetings relevant to the division including sending agendas, taking and distributing minutes.
  • Provide operational support whenever necessary in all the Food & Beverage Outlets covering roles as directed by the Director Of Food & Beverage/Assistant Director Of Food & Beverage.
  • Assist in the design of collateral for all F&B outlets to include menus, custom menus, invitations, custom bottled cocktail labels, amenity notes etc.

  • As the hotel’s level of business varies considerably, there is a need for flexibility in attitude, approach and working hours inclusive of holidays.

F&B Reservations:

  • Oversee all SAG (Special Attention Guest) and Media reservations as requested by PR/Sales & Marketing in outlets.
  • Monitor and spot check Sevenrooms reservations to ensure that standards are being followed.
  • Setup Sevenrooms for outlet activations such was ticketed events as well as updating all verbiage and online reservation widgets.
  • Manage holiday and special programming reservations to ensure revenue opportunities are maximized.

F&B Large Parties & Miramar Picnics:

  • Responsible for converting large party requests (i.e., 9-25guests) in outlets to increase revenue opportunities in outlets.
  • Ensuring large party reservations over the threshold are transferred to the Sales & Marketing team.
  • Manage the request section in Sevenrooms to ensure that all enquiries are responded to in a timely manner.
  • Manage and oversee all Miramar Picnic enquiries including sending proposals, creating event agreements, and sharing REO’s (Restaurant Event Order) with all relevant operational stakeholders.
  • Responsible for ensuring billing is accurate and submitted in a timely manner.

Info Genesis Champion:

  • Be part of the Property Champion team for Info Genesis.
  • Working with outlet Head Of Department’s to create screens that will make the team efficient when inputting orders, maintaining price audits to ensure that items are aligned in price point across all outlets.
  • To ensure buttons are up to date and match the listed prices on menus.
  • To ensure buttons are mapped to the corresponding printers in the various locations of the respective outlet.

Programming:

  • Monitor hotel websites to ensure all Food & Beverage related information such as operating hours, menus, prices are up to date. Ensure that all discrepancies are flagged with Director Of Food & Beverage/Assistant Director Of Food & Beverage and relevant outlet leaders so that the discrepancies can be fixed.
  • Assist the Director of Programming in the planning and execution of seasonal and holiday programming.

Qualifications:

  • Hotel Management or Business Degree preferred but not required.
  • School trained with relevant internships preferred but not required.
  • One to two years’ experience in Hotel Food and Beverage operation.
  • Knowledge of business systems such as Info Genesis, SevenRooms, Opera, InDesign, Birchstreet preferred

The pay scale for this position is between $24.00 and $26.00/hour. This is the pay range for this position that the Hotel reasonably expects to pay.
