About the Role
The Event Sales Manager is a critical part of the Events team at The Chancery Rosewood, working to ensure our social events are memorable and meaningful for our clients through smooth organisation, engaging service, and delicious cuisine. The role serves as an ambassador for our exceptional offerings and the hotel, and the role liaises between multiple departments to meet the needs and exceed the expectations of our clients.
· Promptly and professionally respond to incoming event enquiries via phone and email, in accordance to the relevant departmental standards.
· Prospect new event business with repeat potential and to fill need dates.
· Accurately identify and define the event, dates, times, function space requirement, expected attendance, flow, budget, client expectations and level of influence and decision-making power of contacts in the customer organisation and use these to secure business.
· Work with Food & Beverage leaders to maximise event revenue opportunities in all F&B outlets (e.g. increasing average check, upselling additional food and beverage, meeting room rental).
· Analyse, negotiate and prepare proposals, contracts and addendums according to hotel availability and demand while maintaining price integrity.
· Reach and exceed food & beverage and overall revenue targets.
· Work closely with the Sales and Marketing team, focusing on lead conversion and key opportunities, in effort to maximise hotel revenue.
· Maintain constant accurate records in Sales and Marketing systems, including booking activities, contacts and revenue.
· Plan all event and hotel experience details with the client - including set-up, food and beverage selection, menu tastings, audio visual needs, equipment rental, supplier details &/or referral, guestroom reservations, transportation, recreational activities, etc – and anticipate client needs while making suggestions to create a unique and memorable experience.
· Prepare and detail Banquet Event Orders for all functions, group resumes and floor plans as necessary, and communicate and work with all departments of hotel involved in execution of functions in a timely manner.
· Communicate changes accurately and promptly to the hotel operational teams to ensure no disruption in service within their respective departments or experience to the client.
· Maintain relationships with key suppliers in effort to ensure smooth operation and referrals of business.
· Manage and collect all deposits and monies due/owed based on contract and final account.
· Manage appropriate client relationships to actively negotiate and rebook repeat events.
· Attend and conduct pre- and post-con meetings, BEO, and résumé meetings.
· Consistently offer professional, sincere, friendly and engaging service.
· Understand and be knowledgeable of relevant policies (e.g. menu and pricing, food handling, cancellation, service charge, guarantee, payment, shipping and receiving).
· Offer and implement innovative ideas, methods, and procedures to further streamline the department.
· Follow-up of requests and demands from the client and attendance to the client’s needs.
· Travelling to and attending relevant industry events.
About you
- An adept seller of hotel or hospitality event spaces, ideally with five star and/or pre-opening experience.
- A tenacious negotiator with fantastic presentation skills and ability to build rapport with demanding and varied clients.
- An exceptional organiser, with the ability to manage multiple clients and events simultaneously.
- A passion for luxury travel and hospitality.
