KEY RESPONSIBILITIES
Job summary
Wellness Concierge is responsible for answering the telephone, transferring calls, taking accurate messages, greeting customers, cashiering, giving tours of the spa facility and scheduling appointments. Other responsibilities include notifying associates of any customer cancellations or the arrival of any unscheduled visitors.
The duty may also include light administrative and clerical duties, such as opening and distributing mail, filing, data entry and the preparation of letters and documents. Meet and greet customers, providing a positive and friendly attitude. Check in customers as they arrive for their scheduled appointments. They Provide daily maintenance of the spa's lobby or reception area. Caring for office furniture, plants and periodicals are some examples of these additional duties.
Essential Duties and Responsibilities – (Key Activities)
- To answer all the incoming phone calls in a professional and friendly manner
- To answer all guest queries regarding the spa services, treatment availability, length and cost of treatments in a confident and knowledgeable manner
- To effectively suggest alternatives to guests if their first requests cannot be met
- To schedule appointments in order to maximize both revenue and therapist productivity without compromising guest service
- To politely confirm time and date of all appointments and cancellation policy to all guests before ending phone conversations
- To interact with guests including but not limited to;
- Dealing with guest complaints
- Conducting Spa tours
- Assisting with Spa promotions
- Assisting with journalist visits and photo shoots
- Conducting travel agent site inspections
- To be well informed and educated in all aspects of the Spa facilities, policies and procedures
- To handle the billing system and ensure that it is carried out accurately and in accordance with accounting policies and procedures
- To control the cash flow system and transactions process at the reception area
- To actively sell the spa services and new promotions to guests in order to maximize revenue
- To ensure that all tasks according to the Daily Check List are completed in an efficient and timely manner
- To participate in any new training and refresher programmes as required, related to the Spa and Resort
- To report for duty punctually and always wear the correct uniform with the name badge
- To complete all assignments to the deadlines as requested by the Spa Director or Spa Supervisor
- To be flexible regarding working schedules according to guest requests and needs.
- To be able to multitask and cover different roles when necessary.
- To assist in the preparation of reports including;
- Staff Attendant – sick leave, holidays, unpaid time off, etc
- Guest complaints, incident reports regarding staff or guests
- Monthly summary of treatments and guest information
- Daily sales of services and retail
QUALIFICATIONS:
- Education: High School or its equivalent or a combination of education and work-related experience.
- General Skills: Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand a guest’s service needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data.
- Technical Skills: Proficiency with Microsoft Office Word and email applications.
- Language: Required to speak, read and write English, with fluency in other languages preferred.
REQUIREMENTS (CERTIFICATES, LICENSES, REGISTRATIONS)
When driving any company vehicle inclusive of golf carts, must be in possession of a valid British Virgin Islands Driver’s License.
