Essential Duties and Responsibilities :

  • Assists in processing purchase requests and purchase orders for all departments.
  • Coordinates with suppliers regarding quotations, product availability, and delivery schedules.
  • Follows up on pending orders and delayed deliveries to ensure timely supply of goods. 
  • Assists in sourcing materials, supplies, and equipment at competitive prices.
  • Ensures all delivered items meet hotel specifications and departmental requirements.
  • Coordinates with Receiving and Stores departments regarding delivered items and discrepancies.
  • Maintains accurate records of purchase orders, invoices, quotations, and delivery notes.
  • Assists in monitoring stock levels and maintaining minimum par stock levels.
  • Supports monthly inventory and stock count activities as assigned.
  • Assists in conducting market surveys and obtaining competitive quotations from suppliers.
  • Maintains daily purchasing and receiving reports.
  • Coordinates with all departments regarding purchasing requirements and urgent requests.
  • Supports the Purchasing Manager in daily operational activities and administrative tasks.
