Our Payroll Officer is responsible for the accurate, timely, and compliant processing of monthly payroll for all HKGTA associates, ensuring adherence to Hong Kong employment legislation, MPF regulations, and IRD requirements. This role serves as a key bridge between Finance, Talent & Culture, and operational departments, delivering payroll services with precision, confidentiality, and professionalism in a hospitality environment where shift-based scheduling, variable pay elements, and regulatory obligations require specialized knowledge.
Payroll Processing & Administration
- Manage full-cycle monthly payroll processing for all permanent and contract associates, including data input, validation, calculation, and final disbursement
- Process all payroll elements including base salary, shift allowances, tips on bills, incentive payments, overtime, statutory holiday pay, leave pay, and other variable compensation components
- Input and validate payroll data from multiple sources including time and attendance systems, leave records, departmental submissions, and manual adjustments
- Prepare monthly payroll reconciliations, cost analyses, and reporting for Finance and Talent & Culture
- Generate accurate payslips for all associates and ensure timely distribution via HRIS or electronic delivery
- Handle associate reimbursements, ad-hoc payroll transactions with proper documentation and approval Coordinate with Finance on payroll funding, bank file preparation, and payment execution
Statutory Compliance & Reporting
- Ensure full compliance with Hong Kong Employment Ordinance provisions on wages, working hours, overtime, leave, and termination payments
- Calculate and remit MPF contributions for employer and employee, with the use of eMPF platform
- Prepare, review, and submit IR56B forms to the Inland Revenue Department
- Submit IR56E forms for new hires, IR56F forms for terminations, and IR56G forms for associates departing Hong Kong
- Maintain up-to-date knowledge of Employment Ordinance amendments, MPF rule changes, and IRD reporting requirements
- Respond to IRD and MPFA enquiries, audits, and data requests with accurate documentation and timely submissions
Employee Lifecycle & Data Management
- Process payroll-related changes for new hires, promotions, transfers, salary adjustments, leave of absence, and terminations
- Maintain accurate and confidential employee payroll data in HRIS, ensuring data integrity and completeness
- Coordinate with departmental managers and HR colleagues on roster changes, attendance anomalies, and payroll cut-off deadlines
- Support onboarding and offboarding payroll processes including first-pay setup, final pay calculations, payment in lieu of notice, severance, and long service payment where applicable
- Administer statutory leave entitlements including annual leave, sick leave, maternity leave, paternity leave, rest days, and statutory holidays
- Monitor rosters and attendance records for shift-based associates, ensuring accurate calculation of overtime, shift premiums, and holiday pay
Reporting, Analysis & Continuous Improvement
- Prepare monthly payroll summaries, headcount reports, cost analyses, and variance reports for management review
- Identify payroll discrepancies, escalate issues promptly, and implement corrective actions to prevent recurrence
- Contribute to payroll process improvements, system enhancements, and automation initiatives to increase accuracy and efficiency
Stakeholder Engagement & Service Excellence
- Respond to associate payroll enquiries with professionalism, confidentiality, and timely resolution
- Provide payroll guidance and training to departmental managers and HR team members on payroll policies, timekeeping, and variable pay procedures
- Uphold the highest standards of data security, confidentiality, and ethical conduct in handling sensitive employee information
What You Should Have
- Diploma or higher in Human Resources, Business Administration, Accounting, or related discipline
- Minimum 3–5 years of hands-on payroll processing experience in Hong Kong, preferably within hospitality, hotel, club, or service industry environments
- In-depth working knowledge of Hong Kong Employment Ordinance, MPF schemes, and IRD tax reporting requirements
- Demonstrated experience managing complex payroll with shift based associates, variable pay elements (tips, commissions, allowances), and high-volume casual or temporary associates
- Strong proficiency in HRIS/payroll systems and advanced Microsoft Excel skills (formulas, pivot tables, data validation)
- Exceptional attention to detail, accuracy, and ability to meet tight monthly deadlines in a fast-paced environment
