Job Description

KEY RESPONSIBILITIES:

 Job Summary –

 

·   Responsible for the office work, pass on messages, handle telephone calls, handle the left-behind properties, handle the mini-bar items charge or post in the system and do summary consumption report control the issue and return of keys from staff

 

Essential Duties and Responsibilities – (Key Activities)

 

·         To arrive at work on time in the uniform provided, ensuring a neat and tidy appearance, according to the associate handbook.

 

·         Follow the hotel and Housekeeping Department policies and procedures.

 

·         To have a complete knowledge of the hotel product, including room types, rates, relative features and facilities, food and beverage outlets, spa and fitness

 

·         Attend the briefing of the Supervisors conducted by Director of Housekeeping / Assistant or supervisor.

 

·         Keep and file staff records.

 

·         Prepare and type all the proper documents for the Director of Housekeeping.

 

·         Take order of the guest, report to the Director of Housekeeping, advice supervisors and Housekeeping associate for job follow-up.

 

·         Issue verbal and written notice of work to supervisors for job done, recheck and follow-up with supervisors.

 

·         Prepare the work schedule, time sheet and submit to the Talent & Culture Department.

 

·         Enter and report all information of the guest and Housekeeping staff into the log book for any irregularities.

 

·         Handle and file lost and found properties.

 

·         Keep / follow-up work process of VIP set-up, room service set-up and flower arrangement from Floor Supervisor.

 

·         Check rosters, overtime, annual leave and public holidays for Housekeeping record.

 

·         Handle telephone calls from guests and other departments. Answers all calls within 3 rings and according to receiving call standard

 

·         Write down in the log book guest complaint by phone and report to Director/ Assistant Housekeeper immediately. Contact concerned persons for corrective action.

 

·         Items checked to make sure that it is functioning well and cleaned.

 

·         Coordinate with Mini bar and Store Attendant to do Lost and damaged record and report.

 

·         Type out all concerns for the housekeeping department, i.e. storeroom requisitions, purchase requisition, beverage requisitions, uniform requisitions, annual vacation forms, accident reports, duty rosters, attendance report, inter – office correspondence internal checklist and etc.

 

·         Type out the monthly report for all housekeeping concerns to the accounting department, i.e. babysitting, mending service massage service, linen inventory, laundry inventory, flower and plant inventory etc.

 

·         Hand in the attendance record to the executive housekeeper daily for follow-up if necessary.

 

·         Informs floor supervisors by phone for any instruction of housekeeping manager.

 

·         Sends/follows up the written notices of Executive Housekeeper to all concerned and other departments.

 

·         Takes message for any maintenance or repairs, and sends repair order to engineering by work order form or phone.

 

·         Co-ordinate with the Laundry Department for dealing with the guest’s laundry.

 

·         Operate / Handle room status into computer.

 

·         Collect daily report from all Floor Supervisors and keep into Housekeeping record.

 

·         Attend training and meetings sessions as required.

 

·         Ensure and check that proper key controls are in place.

 

·         Before duty end, records all follow up matters into the housekeeping logbook for next shift to process.

 

·         Perform any other duties as required by Director of Housekeeping, housekeeping manager or other management staff.

 

Required Skills –

·         General Skills: Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand a guest’s service needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data.

 

·         Technical Skills: Good in inter-personality Knowledge of computer Opera – or Related program. Good in driving results and people management and development. Ability to enforce hotel's standards, policies and procedures, maintain confidentiality of hotel guests and pertinent hotel information, work with minimal supervision, trouble shoot and use alternatives in emergency situations, understand guest inquiries, provide responses and interact positively, work in close proximity to high-pressure steam hot water, interact positively with hotel personnel and provide prompt solutions to problems.

 

·         Language: Required to speak, read and write English, with communication in other languages preferred.

 

·         Physical Requirements:Must be able to exert physical effort in transporting  endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.
