Job Description

To provide full administrative support to the Director of Events and the Events team ensuring the upkeep and smooth running of the department. To assist with incoming inquiries where possible and to perform any other reasonable task as requested by management. 

Key Responsibilities: 

  • Professionally answer all general telephone calls and manage guest expectations in absence of other members of the team, communicating with appropriate departments as necessary.
  • Handle all inquiries, both via phone and email, qualifying and distributing per departmental guidelines.
  • Conduct show around during absence of managers.
  • Prepare and distribute all material and correspondence relative to the successful operation of the department such as contracts, daily events, banquet event orders, change logs, diagrams, amenity requests, printed menus and other collateral as requested.
  • Perform daily, weekly and monthly, or as needed, administrative duties.
  • Consistently offer professional, friendly and engaging service.
  • Book and prepare BEOs for in-house events. 
  • Revise and update Banquet menus
  • Audit Event Sales database through Salesforce as requested 

Qualifications & Skills:
  • Two years hotel related work experience, graduating from a business/hotel school an asset. 
  • Prior experience in a similar role or within luxury hospitality is preferred.
  • Fluency in German and English is preferred; proficiency in additional languages is a strong advantage.
  • Ability to anticipate and understand guest needs to deliver exceptional service.
  • Proficient in Word, Excel and Microsoft Outlook with Delphi/Salesforce knowledge a strong asset.
  • Must be a self-starter and able to meet deadlines, work independently, able to make decisions in absence of an Event Sales Manager or Executive.
  • Ability to work days, nights and weekend when necessary.
