Job Description

Support the Executive Office on all administrative matters including leadership meeting coordination, expense items, event organization and more.

Key Responsibilities

  • Coordinate meetings chaired by Executive Office - scheduling, agenda consolidation, minutes taking, event coordination, logistics and technical support.
  • Act as shared resource to assist the Executive Office teams with administrative duties (e.g., calendar management, travel management, expense claims, document delivery, organizing major event organization such as town-halls).
  • Support the Assistant Manager, CRM to update and manage CEO’s VVIP database and deliver greetings and gifts to VVIPs over special occasions (e.g., birthdays / anniversaries) and festive occasions (e.g., Christmas, New Year).
  • Handle any other projects as may be assigned from time to time.

Critical Skills and Qualifications

  • University graduate in Business Administration or any relevant disciplines.
  • Minimum 3 years of secretarial/administrative experience, preferably in sizable multinational companies, serving senior executive/c-suite positions.
  • Good command of both written and spoken English, Cantonese, and Mandarin.
  • Well organized, self-motivated, and a good team player.
  • Ability to work independently with minimal direction.
  • Strong interpersonal skills with ability to communicate effectively with internal and external stakeholders.
  • Ability to multitask and prioritize tasks, demonstrating excellent time management skills.
  • Ability to cope with a fast-paced working environment with composure and agility
  • Confident in the role of a “gatekeeper” by handling ad-hoc tasks, proactively communicating changes, and responding to scheduling conflicts.
  • Proficient in Microsoft Office 365 – Word, Excel, PowerPoint, Outlook, SharePoint, Teams.
