Job Description

OVERVIEW/BASIC FUNCTION:

Responsible for monitoring, evaluating and documenting Rosewoods Abu Dhabi training activities. Assist Talent Development Executive in ensuring that all trainings and development standards are met. Work with supervisors and managers to create schedules for training materials, producing training document drafts, making backups and checking training materials.

RESPONSIBILITES:

    Maintains complete knowledge of and complies with all Rosewood policies, service procedures and standards.

    Ensures that standards are maintained at a superior level on a daily basis.

    Maintains complete knowledge of correct maintenance and use of equipment. Uses equipment only as intended.

    Anticipates associates’ needs, responds promptly and acknowledges all associates, however busy and whatever time of day. Responds to all associates requests on a timely manner.

    Greets all individuals arriving at the office and assists with their needs. Maintains positives relations at all times. Answers telephone with positive manner.

    Monitors and maintains cleanliness, sanitation and organization of assigned work areas.

    Maintains knowledge of all hotel services/features and hours of operation.

    Performs filing, data entry, coordination and logistical requirements of the training department.

    Prepares lists of participants' attendance on the training programs and update database of associates who have been trained already.

    Organizes training venues of the training programs and ensures the availability of the necessary tools and equipment.

    Coordinates and requests meals / refreshments for participants during the training program when applicable.

    Maintains accurate records of participants in each training sessions.

    Ensures the Training Department is well organized and that the Oasys tracking is up to date with all training data. Make sure the Training room is clean and tidy at all times.

    When applicable, prepares and prints certificates for trainees and ensures proper distribution and delivery to the participants.

    Ensures proper maintenance and orderliness of the training room, including proper arrangement of the training stock regularly.

    Ensures availability of supplies and tools necessary for the training section, such as pens, papers.

    Make sure that stocks / materials for training is up to date at all times. Raise PO where required.

    Assists and supervises the Training and Talent & Culture Administrative Assistant as well as its’ tasks when applicable.

    Ensures a smooth onboarding process for all associates with a proper Perfect Discovery inclusive of a visit in Abu Dhabi (in addition to the Grand Mosque).

    Follow-up training for new associates on the job during the first three months.

    Follows-up booking for new associates and ensures to follow the routine procedures for new associates (Rosewood Reception, Rosewood Responsibilities training).

    In coordination with the Talent Development Executive & Talent & Culture Manager, in charge of the 90 days’ celebration.

    Ensures that the Daily Calling are well conducted in all departments and updates the process / form where required. Makes sure everyone is aware of Rosewood Core values & Principles and is inspired by its’ philosophy.

    Support the training for and continued use of Rosewood Resources tool

    Ensures accuracy in “On the Job” Trainings’ delivery.

    With the Talent Development Executive, in charge of the Rosewood Standard Specialists / all Hotel’s Trainers.

    When required and as instructed, conducts monthly meetings with the Trainers and follows up on projects linked to Hotel’s Trainers.

    Attends some Daily Callings and monthly departmental meetings when required.

    In charge of the follow up and action plans in regards to LQA and Rosewood Brand standards.

    Able to analyze and use all data such as Trust You, TripAdvisor, Mystery Shopper & LQA audits, SOE, Appraisals to adapt the training needs and extract clear data / graph to present to HRD.

    Help the Talent Development Executive to conduct training needs analyses, to develop and implement departmental and individual training plans and measure success.

    Conducts regular LQA and Rosewood Brand Standards spot checks within the hotel, in all operational departments. Develops role plays / trainings, when applicable, to keep a high LQA/Brand score in RWABU.

    Assists Talent Development Executive for the HyFlyer Program as well as the MT Program in the hotel.

    When required and as instructed, makes sure all Interns are properly integrated in their department and are in charge of a project.

    Under the guidance of the Talent Development Executive and Asst. Director of Talent & Culture, in charge of the Cross-training program in the Hotel.

    Assists Talent Development Executive in facilitating and developing programs if required.

    If and when applicable, with the help of the Talent Development Executive, Asst. TCD and / or TCD, manages/organizes/facilitates/designs trainings and developments new programs.

    Facilitate RHR mandated training programs when instructed.

    Develops with the Talent Development Executive and distributes monthly training calendar. Under the supervision of the TD Executive, plans a yearly training calendar based on Training needs analysis.

    Has a pro-active approach and constantly improves processes / hotel operation. Presents regularly new ideas to Talent Development Supervisor, Asst. Director of Talent & Culture and/or Director of Talent & Culture.

    Stays alert in regards to city happenings and suggests, regularly, team building activities / outside trainings.

    Develops and ensures utilization of Insider & the e-Learning platform of RWABU associates. Posts on social media such as RosewoodLife Instagram Page, Insider and LinkedIn as requested and where needed.

    Assists the T&C Team and TD Executive in the organization and logistic of the Leaders Forum, The Rally as well as all big events launched by T&C Department.

    In addition to TD Executive, provides support to Talent & Culture Manager and Assistant Director of Talent & Culture in different departmental projects when required.

    Assists in the organization of associates’ engagement activities, department campaigns and events. Prepares flyers, posters and videos for such events where required.

    Involved in many Talent & Culture / Associates’ welfare activities.

    Assists in the Associates’ Accommodation when required and as instructed by the Asst. Director of Talent & Culture and / or Assistant Accommodation Manager.

    Raises immediately any issue to Asst. Director Talent & Culture and/or Director of Talent & Culture. Plays the role of privilege interlocutor between the associates and the Executive Team / T&C Department.

    All other duties as required and directed by the Talent Development Executive, the Talent & Culture Manager, the Assistant Director of T&C and/or the Director of T&C.

OSHAD RESPONSIBILITIES:

While at work, (and while on work premises) an associate shall:

    Take reasonable care of their own health and safety.

    Take reasonable care of the health and safety of a person and the workplace, that may be affected by their acts or omission at work;

    Cooperate with full compliance with Hotel’s developed OSHMS policies, OSHMS procedures & operational works instruction in order to protect the health and safety of the people.

    Report to immediate supervisor any situation which they have reason to believe could present a hazards and which they cannot themselves correct;

    Report all OSH incidents and work related injuries; and

    Not intentionally or recklessly interfere with or misuse anything provided (e.g. Equipment & machineries, PPE, etc.) at the Hotel’s workplace in the interest of health, safety, welfare or protection or management of the workplace.

    Participate in conduct of OSH related planning and implementation in order to achieve the Hotel’s OSH objectives, targets & program.

    Attend all training arranged by Hygiene, Health & Safety Manager such as OSH training, safety Induction, on the job training, tool box talks, etc.

ACCOUNTABILITY:

    Held accountable and committed whatever it takes to comply with the company’s OSHMS Policies, OSHMS Procedure, & Operational Works Instruction and any other relevant legislation applies within the organization.

    Held accountable to take care of his own health and safety, other person in the workplace that may be affected by their acts or omission at work.

    To report to his supervisor or respective Manager.

QUALIFICATIONS:

    Experience:  Minimum one year as a hospitality Trainer and / or administrative assistant within the Training Department in a Luxury Hotel environment. Previous operational experience also desirable.

    Education:  Bachelor's degree in hospitality, hotel management, Human Resources or a relevant field of work or an equivalent combination of education and work-related experience.

    General Skills:  Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand a associate’s needs; work cohesively with associates as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data.

    Technical Skills:  Proficiency with Microsoft Office products, with advanced PowerPoint knowledge. Excellent public speaking and presentation skills. Creative and graphic design ability for presentation development and enhancement.

    Language: Required to speak, read and write English perfectly. Fluency in other languages preferred.

    Physical Requirements:  Must be able to exert physical effort, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.

    License & Certifications: Train the Trainer Certificate a plus.
