Job Summary
To oversee all large parties’ reservations up to 20 guests from proposal, contracting, planning and invoices of Restaurant Event Order (REO). Assist outlet HOD’s with large party reservations. Assist on taking reservations and maintain reservation book to ensure maximum cover count while still meeting guests’ expectations. Assist with SAG reservations and support all F&B programming activations from planning to menu formatting/design for all outlets and assist with their executions.

Essential Duties and Skills
Responsibilities and duties for this position shall include, but not be limited to, the following areas and activities. At management discretion, direction may be given for tasks outside the scope of work described.

F&B Administrative Duties:
Manage and maintain stationery and collateral in accordance with the par system setup and placing orders accordingly.
• Performs related day, evening duties and special projects as assigned by EAM/ADOFB/GM
• Prepare weekly / monthly reports as requested by the EAM/ADOFB
• Prepare and maintain F&B outlet hours of operation fact sheet to ensure all departments have accurate information.
• Participate and assist in all meetings relevant to the division including sending agendas, taking, and distributing minutes.
• Provide operational support whenever necessary in all the F&B Outlets covering roles as directed by the EAM/ADOFB/GM.
• Assist in the design of collateral for all F&B outlets to include menus, custom menus, invitations, custom bottled cocktail labels, amenity notes etc.

F&B Reservations:
• Maintain complete knowledge of and comply with all departmental policies, service procedures and standards.
• Ensure that standards are maintained at a superior level daily.
• Maintain complete knowledge of:
• Scheduled daily activities and in-house groups.
• Daily house count.
• Hotel extension numbers.
• Hours of operation of each outlet, ambiance, menu selections and price range.
• Features and services provided by the hotel.
• Maintain complete knowledge of all menu items, specials, 86'd items, liquor brands, beers and non-alcoholic selections available in the restaurant.
• Maintain complete knowledge of and strictly abide by state liquor regulations, particularly those prohibiting service to minors, intoxicated persons and drunk driving.
• Maintain complete knowledge of table/seat/station numbers, proper table set-ups, room capacity, hours of operation, price range and dress code of the restaurant.
• Manage the booking of large parties in the restaurant. Follow up when needed to plan menus, select wines, etc. Communicate all details to staff and ensure that party is executed smoothly. Print special menus for parties.
• Maintain complete knowledge and comply with all departmental policies and service procedures.
• Answer restaurant telephone courteously and efficiently as specified in departmental standards.
• Always maintain positive guest relations.
• Anticipate guest needs and respond promptly.
• Accommodate all requests for information courteously.
• Setup OpenTable/Sevenrooms for outlet activations such was ticketed events as well as updating all verbiage and online reservation widgets.
• Monitor and ensure that all aspects of service conform to departmental standards. Notify respective personnel for problems to be corrected.
• Be familiar with operation of P.O.S. system and manual system procedures.
• Exhibit a friendly, helpful, and courteous manner when dealing with guests and fellow associates.
• Perform all other duties as required.

F&B Large Parties:
Responsible for converting large party requests (i.e., 6-20guests) in outlets to increase revenue opportunities in outlets.
• Any requested parties over 20 guests will be handled by the Sales & Marketing team however, if after contract is signed guest request to increase cover count you will still be responsible for the large party.
• Ensuring large party reservations over the threshold are transferred to the Sales & Marketing team.
• Manage the request section in OpenTable/Sevenrooms and TripleSeat or any over business system to ensure that all enquiries are responded to in a timely manner.
• Manage and oversee all large parties’ enquiries including sending proposals, creating event agreements, and sharing REO’s (Restaurant Event Order) with all relevant operational stakeholders.
• Responsible for ensuring billing is accurate and submitted in a timely manner.
Programming:
• Monitor hotel websites to ensure all F&B related information such as operating hours, menus, prices are up to date. Ensure that all discrepancies are flagged with EAM/ADOFB and Marketing Communications Manager and relevant outlet leaders so that the discrepancies can be fixed.

Qualifications
Hotel Management or Business Degree preferred but not required.
• Required to speak, read, and write in English, with fluency in other languages preferred.
• One to two years’ experience in Hotel Food and Beverage operation
• Knowledge of business systems such as InfoGenesis, SevenRooms, OpenTable Opera, InDesign, Birchstreet, TripleSeat preferred.

Health & Safety
• Be aware of and comply with safe working practices as applicable to your place of work. This will include your awareness of any specific hazards at your workplace.
• The wearing of appropriate protective clothing provided by or recommended by the Company will be obligatory.
• Report any defects in the building, plant, or equipment according to hotel procedure.
• Ensure that any accidents to associates, guests or visitors are reported immediately in accordance with correct procedures.
• Must be able to endure various physical movements throughout work areas, reach up and down, remain stationary at times throughout work period, lift up to 25 pounds.
