Overview / Basic Function

The Wedding and Event Sales Manager owns the full wedding journey at Kona Village — selling, planning, and servicing every celebration from first inquiry through the final farewell. This is a rare three-in-one role for someone who is equally gifted at closing business, orchestrating intricate logistics, and delivering flawless on-site execution — and who is genuinely passionate about weddings and the meaning they hold for couples and their families. The Wedding Sales Manager guides each couple through one of life's most significant milestones with warmth, precision, and full adherence to Rosewood Standards.

Key Responsibilities

Sell — Drive Wedding Revenue

· Solicit, qualify, and convert new and existing wedding business to meet and exceed revenue goals, through inbound inquiries, proactive outreach, planner relationships, site visits, and written communication.

· Conduct compelling property tours, venue previews, and menu tastings that bring each couple's vision to life.

· Prepare proposals and contracts, and own the close — securing signatures, deposits, prepayment, and associated room blocks.

· Maintain and grow the wedding sales database, ensuring accounts are rated according to the Rosewood Hotels & Resorts coding system.

· Create offers and campaigns to drive bookings into need-period dates and shoulder seasons.

· Represent the resort at bridal showcases, wedding-planner networks, industry trade shows, and relevant networking channels to maximize exposure for Kona Village.

· Maintain knowledge of all Rosewood properties to facilitate cross-selling; partner with the Global Sales Office and sister-hotel counterparts to relay leads and respond promptly.

Plan — Design & Detail Each Celebration

· Lead detailed planning consultations to understand each couple's vision, guest profile, budget, and cultural preferences, translating them into a cohesive event design.

· Produce accurate Banquet Event Orders (BEOs), timelines, floor plans, and run-of-show documents for ceremonies, receptions, and ancillary events (welcome dinners, rehearsals, farewell brunches).

· Source, contract, and coordinate trusted vendors — florists, photographers, officiants, entertainment, beauty, specialty rentals — ensuring every partner reflects the resort's quality and aesthetic.

· Partner with Culinary on bespoke menus and tastings, and with Rooms on guest-room blocks and VIP arrangements.

· Manage destination couples remotely with seamless virtual planning, and guide them through Hawaiʻi-specific logistics such as marriage-license requirements, beach-ceremony permits, and respectful incorporation of Hawaiian cultural elements.

Service — Execute Flawlessly On-Site

· Serve as the couple's dedicated point of contact and on-site lead throughout the wedding weekend, present for rehearsal, ceremony, reception, and related events.

· Orchestrate day-of execution across Culinary, Banquets, Housekeeping, Front Office, and Engineering, anticipating needs and resolving issues discreetly and in real time.

· Act as the calm, trusted liaison among the couple, their families, vendors, and resort operations.

· Conduct post-event follow-up, reconcile final billing, and capture feedback to strengthen future celebrations and referrals.

Brand, Culture & Relationship Hospitality

· Uphold strict adherence to Rosewood Standards in every couple and guest touchpoint, from first correspondence to the final send-off.

· Translate Rosewood's A Sense of Place® philosophy into authentic, Hawaiʻi-rooted celebrations, partnering with local cultural practitioners and artisans to create experiences unique to the island.

· Deliver anticipatory, deeply personal service in the spirit of aloha and Relationship Hospitality.

Collaboration, Reporting & Administration

· Maintain respectful, transparent communication with on- and off-property colleagues and partners.

· Contribute to annual marketing plans and the budget process; review goals and action plans on a scheduled basis and manage expenses within budget.

· Prepare and submit timely reports to the Director of Sales, including production, pace, market trends, and competitive intelligence.

· Participate in sales, pre-event, and leadership meetings as required, and perform all other duties as assigned.

Qualifications

Passion & Aptitude

· A genuine passion for weddings and a deep understanding of what the day means to couples and their families.

· Proven ability to excel across all three skillsets — selling, planning, and servicing — within a single role.

· High emotional intelligence, poise, and discretion when guiding clients through an emotional, high-stakes milestone.

Education & Experience

· Bachelor's degree (or equivalent international qualification) in Hotel Management, Marketing, or a related field — or an equivalent combination of education and progressive work experience.

· Minimum of 5 years of event or wedding sales experience, with luxury or ultra-luxury brand experience preferred.

· Destination-wedding and resort experience a strong plus; familiarity with the Hawaiʻi Island wedding market and vendor ecosystem is highly desirable.

Skills & Competencies

· Exceptional written and verbal communication and interpersonal skills; able to represent the property credibly in the community. English fluency required; additional languages preferred.

· Strong organizational skills with an affinity for detail and the ability to manage multiple weddings and deadlines without sacrificing quality.

· Revenue/yield awareness, business acumen, and budgetary analysis capability.

· Proficiency with relevant systems — Opera, Amadeus/Delphi, Meeting Broker, Cvent, Social Tables, and Microsoft Office.

· A clear thinker who stays calm under pressure, exercises sound judgment, and works both independently and as part of a team.

· Maintains the confidentiality of guest, client, and proprietary resort data.

Physical Requirements

· Able to perform varied physical movements throughout the work areas, remain stationary for periods of time, reach, and lift up to 20 pounds.

· Able to work evenings, weekends, and holidays as weddings require, and to be on-site outdoors for ceremonies and events.

· Able to communicate effectively with guests, couples, vendors, and colleagues in person, by phone, and in writing.

Salary: $85,000-$90,000/annual
