About the Role

The Engineering Office Coordinator is responsible for providing administrative and operational support to the engineering department at The Chancery Rosewood. This role is critical to the department as it ensures the efficient coordination of maintenance activities, record-keeping, incoming enquiries and communication between departments while maintaining the highest standards of service and professionalism. The role reports into the Director of Engineering.

  • Support Director of Engineering, and Assistant Director of Engineering with administrative support as needed.
  • Records, inputs, and logs all maintenance requests and preventive maintenance work orders.
  • Assist all Engineering department personnel with any needs, as in holidays, rota, days off etc.
  • Update and maintain Engineering Department payroll using time and attendance system.
  • Coordinates with design consultants, engineering project representatives, and other stakeholders as needed to set up design deliverables and requirements for submission.
  • Coordinate with vendors and subcontractors with regards to callouts and contractual maintenance visits.
  • Develop relations with suppliers, vendors and subcontractors
  • Coordinate with Finance team with regards to P&L, receiving of goods, and posting of invoices.
  • Assist procurement team with all necessary technical inputs to facilitate the procurement of Engineering supplies.
  • Assist in leading and directing routine Engineering Division activities.
  • Type and dispatch general office correspondence and contracts.
  • Liaises with other departments as needed.
  • Assist with managing contracts and be aware of contract renewal dates.
  • Maintain effective communication both within the department and to other departments and ensure the director is kept well informed of any problems/queries that have arisen.
  • Assist in the training and development of colleagues.

About you

  • An excellent multi-tasker with strong organisational ability.
  • A strong communicator, both verbally and written.
  • A confident user of Microsoft Office suite and, preferably, Engineering and Procurement systems.
  • An excellent level of attention to detail and ability to manage multiple priorities.
  • A knowledge of basic engineering operations and terminology is a plus.
  • A drive to thrive in a fast-paced environment.
  • Awareness and ability to handle sensitive information with discretion.
