KEY RESPONSIBILITIES


Job Summary

The Executive Assistant, Quality & Sustainability Ambassador is a trusted partner to the Managing Director, providing high-level administrative, organisational and communication support, whilst also acting as a catalyst for service excellence and sustainability across the resort.

 

This role combines absolute discretion, sound judgement and exceptional organisational capability with a strong analytical mindset and a passion for continuous improvement. As a central point of coordination for the Executive Office, the role ensures effective management of priorities, communications and stakeholder engagement, enabling the Managing Director to focus on strategic leadership.

 

In parallel, the role supports the advancement of quality, service excellence and sustainability initiatives across the property. Through analysis of guest feedback, performance metrics and operational insights, the Executive Assistant, Quality & Sustainability Ambassador helps identify opportunities, coordinate improvement initiatives and support leaders in delivering consistently exceptional guest experiences.

 

The role also supports the development and visibility of Rosewood Bermuda’s Juniper Initiative, fostering awareness, engagement and accountability across environmental, social and community programmes.


Essential Duties and Responsibilities


Executive Support & Office Management

 

  • Provide comprehensive administrative support to the Managing Director, ensuring effective prioritisation of time, communications and commitments.

 

  • Manage the Managing Director’s calendar, appointments and travel arrangements, ensuring optimal scheduling and preparation.

 

  • Coordinate meetings, including preparation of agendas, materials, presentations and minutes as required.


Stakeholder Coordination & Communication

 

  • Facilitate clear and consistent communication between the Executive Office and operational departments.

 

  • Track key projects, initiatives and follow-ups, ensuring timely completion and accountability.

 

  • Support preparation of reports, presentations and executive summaries for internal and corporate use.


Quality Assurance, Guest Experience & Continuous Improvement

 

  • Collect, analyse and interpret guest feedback across platforms including LQA, Forbes, TrustYou and online reviews.

 

  • Identify trends, root causes and opportunities for improvement, presenting insights to the leadership team


Sustainability & Juniper Initiative

 

  • Coordinate the Juniper Committee, including scheduling meetings, preparing agendas, documenting outcomes and tracking action items.

 

  • Support the structure and effectiveness of the committee, ensuring clear communication, accountability and follow-through across initiatives.

 

  • Support the development and coordination of the property’s sustainability and community initiatives through the Juniper Committee.


Leadership Engagement & Culture

 

  • Support the leadership team in maintaining focus on service excellence, quality performance and continuous improvement.

 

  • Coordinate and contribute to leadership meetings, ensuring relevant insights and updates are shared.

 

  • Encourage a culture of accountability, collaboration and innovation across departments.

 

 Standard Responsibilities


  • Comply with Rosewood Hotels & Resorts and Rosewood Bermuda policies and procedures.

 

  • Ensure Rosewood standards are consistently communicated, implemented and executed.

 

  • Act as a brand ambassador at all times, maintaining brand integrity and clarity.

This role requires access to highly sensitive company, guest, member and associate information. Absolute discretion, professionalism and integrity must be maintained at all times.


Position Requirements, Skills & Knowledge

Experience & Education

 

  • Proven experience as an Executive Assistant supporting senior leadership within a luxury hospitality or corporate environment.

 

  • Experience in quality assurance, guest experience or service excellence within hospitality is strongly preferred.

 

  • Bachelor’s degree in hospitality, Business Administration or related field, or equivalent professional experience.


Skills & Competencies

 

  • Exceptional organisational and time management skills with the ability to prioritise effectively.

 

  • High level of discretion, judgement and professionalism.

 

  • Demonstrated ability to influence and engage senior stakeholders without direct authority, driving accountability and follow-through across teams.


Technical Skills

 

  • Proficiency in Microsoft Office Suite.

 

  • Experience with guest experience and reporting platforms (e.g. TrustYou, LQA systems, KnowCross/Unifocus) is an asset.


Language Requirements

 

  • Fluency in spoken and written English is required.

 

  • Additional language skills are an advantage.


Other Requirements

 

  • Flexibility to work varied hours, including evenings, weekends and public holidays as required.
