Rosewood Miramar Beach, a Rosewood Hotel, is looking for a Assistant Purchasing Manager. This role is responsible to receive and document all goods and materials ordered by the Purchasing department. The Assistant Purchasing Manager will refuse and document items not on the original P.O., damaged items, or items that have passed their expiry date. Work with hotel departments for purchasing and inventory control of all food, beverage and non-food items at competitive costs while maintaining quality standards.

Essential Duties and Responsibilities:

  • Maintain complete knowledge of and comply with all departmental policies, service procedures and standards.
  • Ensure that standards are maintained at a superior level on a daily basis.
  • Maintain complete knowledge of correct maintenance and use of equipment. Use equipment only as intended.
  • Anticipate guests’ needs, respond promptly, and acknowledge all guests, however busy and whatever time of day.
  • Maintain positive guest relations at all times, resolve guest complaints, ensuring guest satisfaction.
  • Monitor and maintain cleanliness, sanitation, and organization of assigned work areas.
  • Maintain complete knowledge of property management system and manual procedures.
  • Set up and organize workstation with designated supplies, forms and resource materials, report shortages to supervisor.
  • Post Receiving hours.
  • Assist and manage storeroom clerks, providing direction and feedback when necessary
  • Organize and review Purchase Orders.
    • Check and review incoming orders for the day.
    • Maintain and Clear Dock Area.
    • Maintain Traffic Flow of Dock Area.
  • Record all items received in BirchStreet, match items and pricing with the PO. Turn invoices & packing slips into AP
    • Log: Beverage, Food, and Supply Items
    • Distribute products to their designated departments
  • Assist with Month end inventory counts, updating sheet pricing, compiling outlet details and spot checking periodically, checking formulas and information for accuracy
    • Review dead stock, slow moving items
    • Complete requisitions daily for outlets
  • Handle Discrepancies/Return Goods.
    • Complete Discrepancy Forms for the following: Goods received without invoices, goods returned without a credit note, Notice of error correction.
  • Write Credit Memo when refusing an item.
  • Follow Partial Shipment Procedure, if applicable.
  • Receive: Items, Beverages, Food Products, Dry Goods, Chemicals, and Major Equipment.
    • Ensures that the suppliers follow the rules relating to the hygiene of goods delivered
    • Update Price Comparison Sheet.
  • Complete Daily Work.
  • Maintain Logbook.
  • Willing to work a flexible schedule to accomplish all responsibilities and tasks.
  • All other duties as required.

General Skills: Must be able to perform job functions with attention to detail, speed, and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand a guest’s service needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data.

Technical Skills: Basic math skills; ability to operate computer system; excellent record keeping skills.

Language: Required to speak, read, and write English, with fluency in other languages preferred.

Physical Requirements: Must be able to exert physical effort in transporting 85 pounds, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.

Qualifications: High school diploma.

ExperiencePrior experience in a Purchasing department within the hospitality field; 1 year of prior supervisory experience preferred.

The salary range for this position is $72,000 to $75,000. This is the pay range for this position that the Hotel reasonably expects to pay. This position also may be eligible for bonuses. Decisions regarding individual salaries will be based on a number of factors, such as experience, type of hotel experience, location, and education.
