POSITION SUMMARY

The Housekeeping Coordinator supports the effective daily operation of the Housekeeping Department by coordinating staffing, room readiness, inventories, communication, quality control, and administrative processes.

The role acts as a key link between Housekeeping Supervisors, Room Attendants, Public Area Attendants, Linen/Uniform Rooms, Front Office, Laundry, and other departments to ensure cleanliness standards, LQA and Brand requirements, and operational efficiency are consistently achieved.

The Housekeeping Coordinator assists in supervising housekeeping operations, monitors standards, supports training and inspections, manages records and inventories, and ensures smooth communication and handover across shifts.


RESPONSIBILITIES:

Operational Coordination & Standards

  • Maintain complete knowledge of and comply with all departmental policies, procedures, service standards, LQA, and Brand requirements, ensuring consistent application at all times.
  • Monitor daily housekeeping operations across guest floors, public areas, offices, linen room, uniform room, storerooms, and back-of-house areas to ensure standards are met.
  • Assist Supervisors in coordinating daily work assignments for Room Attendants, Public Area Attendants, and Linen Room staff to ensure optimal coverage and productivity.
  • Support room operations by assisting with rush rooms, re-cleans, and priority rooms, ensuring rooms are ready for inspection.
  • Assist in inspecting vacant and cleaned rooms to ensure compliance with LQA and Brand standards and report discrepancies.
  • Supervise periodic and deep-cleaning activities, including spring cleaning programs in guest rooms and public areas.
  • Ensure proper housekeeping procedures are followed for Lost & Found items at all times.


Inventory, Linen & Equipment Control

  • Assist in preparing, track, and maintain accurate weekly and monthly inventories of linen, uniforms,amenities, cleaning supplies, and housekeeping materials.
  • Control the issuance, usage, and replenishment of linen, guest supplies, and cleaning chemicals to ensure adequate stock levels on floors and in pantries.
  • Maintain accurate records of linen and uniforms sent to and returned from laundry.
  • Assist in ensuring housekeeping pantries are properly stocked, organized, and maintained, report shortages or discrepancies to Supervisors.
  • Ensure all housekeeping equipment, tools, and machinery are properly maintained and in good working condition; follow up on maintenance requests as required.


Administrative, Scheduling & Records Management

  • Maintain employee attendance records, uniform records, room history cards, and other housekeeping documentation.
  • Assist in preparing staff rosters, time sheets, and shift schedules to ensure appropriate staffing levels based on occupancy.
  • Check daily staffing levels, especially in the absence of Supervisors or Managers, and coordinate adjustments as needed.
  • Ensure accurate completion and filing of daily checklists, reports, and operational logs.
  • Assist Supervisors with room assignments and act as an order taker or point of contact when required.
  • Ensure smooth shift handovers and accurate communication of outstanding tasks.


Training, Quality & Communication

  • Assist Supervisors and Room Attendants by maintaining training records and tracking daily on-the-job training activities.
  • Support training, coaching, and guidance of housekeeping associates to ensure adherence to procedures and standards.
  • Participate in quality checks, inspections, and follow-ups to ensure corrective actions are implemented.
  • Pass on departmental updates, operational information, and instructions to relevant stakeholders and team members.
  • Attend Housekeeping meetings and briefings as required.


Guest Service & Interdepartmental Coordination

  • Interact with guests, associates, and other departments in a professional, courteous, and service-oriented manner.
  • Respond promptly and professionally to guest and associate concerns, escalating issues when necessary.
  • Liaise with Front Office, Reception, and Duty Managers regarding room status, occupancy, and special requests.
  • Contact and welcome guests when requested by Duty Manager, particularly in the absence of Supervisors or Managers.
  • Receive and respond to calls from other departments and management regarding housekeeping-related queries Supervisory Support & Safety
  • Perform supervisory duties in the absence of Housekeeping Supervisors or when delegated by Management.
  • Ensure cleanliness, organization, and safety of all housekeeping-controlled areas.
  • Monitor public areas, restaurants, and offices daily to confirm cleaning standards are met and records updated.
  • Identify, report, and follow up on health, safety, and maintenance hazards with relevant departments.
  • Support safety meetings, briefings, and training sessions as required.
  • Follow all emergency procedures and company policies during incidents or emergencies.


OSHAD RESPONSIBILITIES:

While at work, (and while on work premises) an associate shall:

  • Take reasonable care of their own health and safety.
  • Take reasonable care of the health and safety of a person and the workplace, that may be affected by their acts or omission at work;
  • Cooperate with full compliance with Hotel’s developed OSHMS policies, OSHMS procedures & operational works instruction in order to protect the health and safety of the people.
  • Report to immediate supervisor any situation which they have reason to believe could present a hazards and which they cannot themselves correct;
  • Report all OSH incidents and work related injuries; and
  • Not intentionally or recklessly interfere with or misuse anything provided (e.g. Equipment & machineries, PPE, etc.) at the Hotel’s workplace in the interest of health, safety, welfare or protection or management of the workplace.
  • Participate in conduct of OSH related planning and implementation in order to achieve the Hotel’s OSH  objectives, targets & program.
  • Attend all training arranged by Hygiene, Health & Safety Manager such as OSH training, safety Induction, on the job training, tool box talks, etc.


ACCOUNTABILITY:

  • Held accountable and committed whatever it takes to comply with the company’s OSHMS Policies, OSHMS Procedure, & Operational Works Instruction and any other relevant legislation applies within the organization.
  • Held accountable to take care of his own health and safety, other person in the workplace that may be affected by their acts or omission at work.
  • Accountable to report operational, safety, and compliance issues to the Supervisor or respective Manager.


QUALIFICATIONS:

  • Minimum 1 year team leader experience; previous experience in a housekeeping department for a luxury or ultra-luxury hotel.
  • High school diploma
  • Required to speak, read and write English, with fluency in other languages preferred.
  • General Skills: Strong attention to detail with the ability to work efficiently and accurately/ability to prioritize, organize, and follow up on tasks independently/calm, clear thinker with sound judgment and problem-solving skills/strong guest service awareness and ability to understand guest needs/team-oriented with the ability to work collaboratively and with minimal supervision/high level of professionalism and confidentiality in handling guest and hotel information
  • Technical Skills: Strong knowledge of hotel and housekeeping operations and procedures/proficient in using computerized hotel systems and basic data analysis/excellent interpersonal and communication skills, with the ability to influence and guide team members/ability to handle difficult situations calmly and professionally/strong organizational and time-management skills, even in high-pressure environments/ability to meet deadlines, manage multiple priorities, and attend departmental and hotel-wide meetings
  • Physical Requirements: Must be able to exert physical effort in transporting, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.
